What is a Business Command Center?

Your Business Command Center (BCC) is a complete operating system for your business. It covers every domain of running your company — financials, tax, people, operations, marketing, memory — and connects Claude AI directly to your private database, your Google apps, your code, and your automations. Everything works together. Everything updates itself. Everything stays yours.

Lesson 02 · THE BRAIN

Claude AI — your thinking partner

Claude is the AI that powers everything. It reads, writes, reasons, analyzes, and takes action. What makes your BCC special is a file called your Claude instructions file — a detailed set of instructions that tells Claude everything about your business before every single conversation.

What Claude knows
Your name, your businesses, your team, your goals, your entity structure, your tax profile, your customers, and how you like to work.
What Claude does
Drafts emails, analyzes finances, helps plan, answers questions, coaches decisions, files documents, runs reports, takes action.

You open claude.ai and start a conversation — that's all. No complicated setup every time. Claude picks up right where you left off because your full business memory loads at the start of every chat.

Mental model
Your Claude instructions file is the static personality (who Claude is and how it behaves). Supabase is the live memory (what's happening right now). Together they give you an AI partner that actually knows your business.

Lesson 03 · MEMORY

Supabase — the memory that never forgets

Supabase is your private database — the permanent home for all your critical business data. Entity records, financial history, business rules, automations, and session notes all live here. Every entry is passed to Claude as context at the start of each conversation — and your web app reads from the exact same place.

The more complete and accurate this memory is, the more useful your Claude becomes. This is why Claude doesn't need you to re-explain yourself, and why your dashboard always shows current numbers. The memory is always there, always current, shared between both interfaces.

Lesson 04 · YOUR DASHBOARD

Your Web App — the visual command center

Your Business Command Center web app is your visual cockpit — a private dashboard built just for you that reads from your Supabase database in real time. Open it any time you want to see something rather than ask about it.

The web app is hosted on Vercel from your own GitHub repo, which means the code that runs your dashboard is yours. It can be updated and improved over time without rebuilding from scratch.

You don't edit data in the web app — Claude does that, your automations do that, your automations do that. The web app is your window in. Open it whenever you want to look, scan, or share a screen with someone.

Lesson 05 · ASK CLAUDE

The button on every screen

Look closely at any module in your web app. In the top-right corner of nearly every screen, there's a teal "Ask Claude" button.

This is one of the most powerful features of your BCC. It means you never have to switch contexts to get help with what you're looking at. See an alert you don't understand? Ask Claude. Numbers look off in your P&L? Ask Claude. Document filed in the wrong category? Ask Claude. QBO sync threw an error overnight? Ask Claude.

What happens when you click it

Claude opens with full context of the screen you're on, the data you're viewing, and your full business memory. You ask. Claude answers, drafts, or fixes — right there, no copy-paste, no re-explaining.

The button is everywhere on purpose. The whole point of your BCC is that help is one click away from anywhere you happen to be looking.

You have two ways to interact with your BCC. They're not redundant — they're for different jobs. Once you have the mental model, choosing is easy.

Lesson 07 · FINANCIALS

Always current, never manual

The Financials module is where your books become visible. Cash basis or accrual, calendar or fiscal year, single entity or consolidated — your real numbers, refreshed continuously as QuickBooks syncs and your automations process documents.

The flagship: QuickBooks Online as the live source

QuickBooks Online is the engine of your Financials module. Your books live there. Your BCC mirrors them, adds the context Claude needs to make sense of them, and lets you see across every entity you run in one place.

Every number you see here ties back to a source — either a QBO transaction, a synced bank statement, or a payroll run. If a number looks wrong, click Ask Claude in the top-right — Claude traces it back to the original entry and explains it.

Multi-entity matters
If you run more than one business, the Multi-Entity Consolidated tab is where you'll spend the most time. It's the view your accountant has always wanted and never had — every entity, every period, one screen.

Pre-populated by entity type, organized by Drive

Your Tax Center is built around your entity type — which determines what you file, when, and how. We pre-populate the deadlines, forms, and reminders based on which profile fits your business. If you run multiple entities of different types, the consolidated view shows everything in one calendar.

Lesson 09 · DOCUMENT FLOW

How your documents flow in

One of the most powerful things your BCC does is automatically process source documents. You don't manually enter numbers — a pipeline runs in the background, and the file shows up in your Documents module ready to use.

How the BCC works — 7 steps, every time

Documents arrive in Gmail. Your bank, credit card, payroll, and customer emails land in your Gmail inbox automatically.

Composio reads the inbox on schedule. Hourly automations scan for new statements, payroll runs, invoices, and 1099s.

Claude reads the document. Composio passes each document to Claude, which pulls out the structured pieces — line items, dates, amounts — and hands them back clean.

Data lands in Supabase and QuickBooks. Transactions sync to QBO; the BCC keeps a copy in Supabase for analytics and Claude context.

Original files go to Drive. After processing, the original PDF or CSV moves to your Google Drive in the right folder — by entity, year, and category.

Lesson 10 · COMMUNICATION

Gmail — connected inbox + document intake

Gmail serves two roles in your BCC. First, it's your communication hub — Claude can read threads and draft replies on your behalf. Second, it's the entry point for source documents — statements, invoices, payroll journals, and 1099s all come in through Gmail.

Forward any statement, invoice, or tax notice to your intake address and the automation handles the rest — parses, codes, files, and confirms.
A standing rule
Always use the personal email addresses you have for customers and vendors. Group-blast templates burn relationships faster than they save time — your BCC is built to make every email feel personal, even when Claude drafted it.

Lesson 11 · DOCUMENTS

Google Drive — your organized file library

Google Drive is where all your filed documents live — templates, contracts, processed statements, tax filings, and per-entity records. When Composio processes a source document, it automatically saves a copy to the right Drive folder. Claude can also search and reference Drive files during any conversation.

Folder structure matters
Your Drive is set up by entity → year → category. So a single bank statement for Entity B lands at /Entity B/2026/Bank Statements/ — predictable, searchable, audit-ready.

Lesson 12 · SCHEDULING

Google Calendar — time, tasks, and recording consent

Google Calendar connects to your BCC so Claude knows what's on your schedule — and can help you manage it. Sales calls, vendor meetings, employee check-ins, tax deadlines — Claude can see them, create them, and prep you for them.

Schedule calls, build agendas, set follow-up reminders, prep you with context before a meeting, and track project milestones across multiple entities.
Recording compliance
If you record calls (which most owners using AI do), check your state's law. Florida and several others are two-party consent — verbal acknowledgment from the other party is required.
Florida two-party consent (F.S. 934.03)

Florida is a two-party consent state — every party on the call must consent before you record. Claude knows the consent language and will remind you to use it on every recorded meeting. The default opener: "Before we get started, I want to let you know that I record meetings using an AI transcription tool so I can stay fully present in our conversation. Are you okay with me recording today?"

If you're not in Florida, your Claude instructions file is configured with your state's consent rule so Claude prompts you appropriately.

Ask: "What do I have this week?" or "Set a call with my CPA for Tuesday at 2pm and add the consent reminder to the invite."

Lesson 13 · YOUR AUTOMATIONS

Composio — your automation engine

Composio is your automation engine — the layer that runs pre-built automations connecting Claude to all your tools. Each automation is defined once and stored in your Supabase database. Scheduled automations fire on their own — daily, weekly, monthly, whatever you set. Composio executes each one using your connected accounts. Every run is logged automatically so you can see what happened and when.

When a bank statement, payroll journal, customer invoice, or 1099 lands in your Gmail, this automation fires automatically. It parses the document, codes transactions to QuickBooks and Supabase, and files a copy in Google Drive. Your books update themselves.

Every morning this automation runs on its own. It checks your calendar, reviews what came in overnight, flags upcoming tax deadlines, and sends you a briefing. You start every day knowing exactly where things stand — without asking.

Continuously watches the QuickBooks Online connection, surfaces uncategorized transactions, and alerts you to anything that needs a coding decision. You decide; Claude pushes the entry into QBO.

Automation — Persistent Memory Logging

Lesson 14 · YOUR ONE CLAUDE

One Claude that knows everything — by design

Your BCC lives inside a Claude Project — a dedicated workspace in Claude that already knows your business, so Claude has full context every time you open it. You'll see it in the left sidebar of Claude, labeled with your business name.

You may have heard about Project Claudes — different versions of Claude for different tasks (one for client work, one for content, one for troubleshooting). Your BCC doesn't need them. And that's by design.

The reason in one sentence

Because all your business context lives in your Supabase, any conversation you start with your Claude already has access to everything — your tax profile, your financials, your team, your goals, your automation history, your recent decisions. There's nothing to silo, because the database is the shared brain.

What this means for you
One Claude. Full context. Every time.
Open Claude. Ask anything — a strategic question, a financial analysis, a tax estimate, a content draft, a troubleshooting walkthrough. The same Claude handles all of it, with the same complete picture loaded for every conversation.
Multi-entity is automatic
If you run five entities, your Claude knows all five. Ask "How did Entity B do last month?" or "Roll up everything across all five" — same Claude, same conversation, full picture.
Memory is shared, not split
What you discussed yesterday is available today. Decisions you made last quarter inform conversations this quarter. Nothing gets lost between "the Claude that knew that" and "the Claude you're asking now."

Inside your web app, click Settings → About. This is one of the most useful pages in your BCC, and most owners never find it on their own. It's where you go when you want to understand or fix anything about how your BCC is wired together.

The "what do I have" reference. Every service powering your BCC is listed with its role (Intelligence Layer, Database & Memory, Automation Engine, Accounting Sync, etc.) and a one-click "Open" button to jump straight into that service's dashboard.

The "how does it work" explainer. The same 7-step pipeline from Lesson 09, in your own dashboard, anytime you need to remember how the pieces fit together.

Browsing with AI alongside you

Claude for Chrome is a browser extension that puts Claude right inside your web browser. Instead of switching tabs, Claude is alongside you as you work — reading pages, helping you research, drafting responses to things you're looking at in real time.

Good for
Researching a prospect or vendor, summarizing an article, drafting a reply to an email you're reading, looking something up mid-conversation, pulling notes from a webinar replay.
How it's different
Claude can see what's on your screen and respond to it — you don't have to copy and paste. Context is the page you're on.

Master claude.ai first. Once you're comfortable talking to Claude regularly, adding the Chrome extension is a natural next step that makes every browser session faster.

Desktop Claude & Cowork — when you're ready

Once you've gotten comfortable with Claude on the web, two more tools open up that take your BCC to a whole new level.

A native app on your computer — faster, always available, no browser needed. Great for power users who are in Claude constantly throughout their day.
Cowork — automate your desktop
The most powerful tool in the suite. Cowork lets Claude operate your actual computer — moving files, filling forms, automating repetitive desktop tasks. It's like having Claude's hands on your keyboard for tasks you do over and over.

Lesson 18 · 10 USAGE TIPS

Get more from your Claude

Claude limits are real — especially 8 AM to 2 PM Eastern on weekdays when usage tightens across the platform. These 10 tips will help you stretch your plan all day long.

Tip 1 of 10

Start new conversations often

This is the #1 most impactful tip. Every message in a long thread re-processes the entire history. By message 20, each message costs roughly 20× what message 1 cost. Switching topics? Start fresh. Past 10 messages? Start fresh. Your business context is already saved in Supabase — your Claude remembers what it needs.

Use the right model for the task

You wouldn't drive a sports car to pick up groceries. Haiku = daily driver (quick questions, lookups). Sonnet = SUV (drafting, analysis, daily work). Opus = sports car (deep analysis, complex multi-entity strategy). Opus uses roughly 5× more of your limit than Haiku.

Be specific in your first message

Vague prompts lead to back-and-forth that burns messages. Instead of "help me with marketing," try: "Write 3 LinkedIn posts announcing my new service line, friendly-professional tone, include a clear call to action and finish with a one-line P.S." One precise message beats five vague ones.

Tell Claude the format you want

Add format instructions upfront: "Keep it under 200 words," or "Give me a numbered list, max 5 items," or "Just the answer, no explanation." When Claude doesn't have to guess what you want, it gets it right the first time.

Always work inside your BCC Project

Your Business Command Center Project already knows your business — your entities, team, financials, goals, and tax profile. Always start conversations from your Project (not the main Claude screen). You won't need to re-explain context, which saves messages and yields better answers.

Schedule heavy work off-peak

Claude shows a usage meter in your account. Check it throughout the day to pace yourself. Limits are tighter during 8 AM – 2 PM Eastern on weekdays when Anthropic compresses usage. Your same plan stretches further before 8 AM, after 2 PM, and on weekends. Save your big tasks — financial reviews, content batches, strategic work — for off-peak.

Manage your connectors

Every connected tool (Drive, Gmail, Calendar, QBO) loads into every conversation — even when you're not using it. Click + → Connectors → Tool Access and turn off ones you don't need for the current chat. You can always re-enable them on the next session.

Upload files, don't paste them

Don't paste a 50-page document into chat. Use the attachment button (paperclip icon) to upload the file. Better yet, add key documents to your Project's Knowledge files so Claude can reference them across all conversations without re-uploading every time.

Log session at the end

When you finish a working session, just say "log session". Claude writes a structured summary into your Supabase memory — decisions made, action items, what changed. Next time you open Claude, your full history is loaded automatically. This habit is what makes your BCC compound over time instead of starting from scratch every day.
